¶ Pouch Process Flow Overview
The pouch process flow involves branches, caravans, or MRs dispatching items to the mailroom, which then sorts and distributes them to respective departments. This guide provides instructions specifically for branches, caravans, MRs, and departments on how to initiate and handle pouches within the Pouch Receiving System.
¶ Pouch Creation and Dispatch (Branch/Caravan/MR to Head Office)

Pouch Creation:
- Gather the items to be sent to different departments in Head Office.
- Create a pouch and encode the list of items into the Pouch Receiving System.
- Pouch status will be "Pending".

Pouch Handling to Courier:
- Send the pouch to the designated courier for dispatch.
- Courier gives a tracking number to the pouch.
- Update the tracking number, courier, and parcel size details in the system.
- Pouch status will be "In Transit".

Arrival at Mailroom:
- Pouches arrive at the mailroom from various branches, caravans, or MRs.
- Mailroom tags the pouch as "Received" and the pouch will be inside the tab "Received at the Mailroom" in the Pouch Receiving System.

Pouch Sorting:
- Mailroom opens the pouch and groups items from different pouches destined for the same department.

Pouch Distribution (Mailroom to Department):
- Mailroom distributes sorted pouches to the respective departments.
- Each department receives the pouch containing items intended for them and tags it as "Completed".
- The pouch will be inside the tab "Received by Department".
¶ Pouch Receiving (Head Office to Branches/Caravans/MRs)

Pouch Distribution (Mailroom to Branches/Caravans/MRs):
- Mailroom creates pouches containing items for specific branches, caravans, or MRs.
- Mailroom dispatches pouches to the respective destinations.
- Pouch status will be "In Transit".

Pouch Receipt and Handling by Branches/Caravans/MRs:
- Branches, caravans, or MRs receive pouches containing items intended for them.
- Verify the contents and condition of received pouches.
- Tag the pouch as "Received" if no issues are encountered.
- If issues are encountered, tag the pouch as "With Issue" and fill the remarks field with complete issue description.

¶ Issue Handling

Identifying Issues:
- Thoroughly inspect the contents and condition of the pouch upon receipt from the mailroom.
- Verify that the items inside the pouch match the description provided and are in good condition.

Reporting Issues:
- Immediately notify the mailroom of any issues identified during the inspection process.
- Use the Pouch Receiving System to tag the pouch as "With Issue" with the specific issue encountered and provide detailed remarks.

Communicating with Mailroom:
- Consistently communicate with the mailroom until the issue is resolved.
- Provide updates on the status of the issue and any additional information as needed.
- Do not forget to tag the pouch as "Resolved Issue" once the issue is resolved.
