Issues may arise during the handling of pouches within the organization. It's essential to address these issues promptly and efficiently to ensure smooth operations and maintain the integrity of the items being transported. This guide outlines the steps for identifying, reporting, and resolving issues encountered during the pouch handling process.
- Branch/Department Inspection: Upon receiving a pouch, branches or departments must thoroughly inspect the contents and condition of the pouch/items.
- Verification: Verify that the items inside the pouch match the description provided and are in good condition. Count the items correctly and it should match the number of items listed in the pouch at Pouch Receiving System.

Communication:
- If you're from a department, immediately notify the mailroom of any issues identified during the inspection process.
- If you're from a branch, use the Pouch Receiving System to tag the pouch as "With Issue". Include detailed remarks describing the issue for clarity.

Consistent Updates: Ensure consistent communication with the mailroom until the issue is resolved. Provide updates on the status of the issue and any additional information as needed.
- Mailroom Notification: Upon receiving notification of an issue, the mailroom must acknowledge and prioritize the resolution of the issue.
- Investigation: Conduct a thorough investigation to understand the root cause of the issue and determine appropriate corrective actions.
- Issue Resolution: Take necessary actions to resolve the issue promptly. This may involve replacing damaged items or addressing any other concerns raised.
- Documentation: Document all steps taken to resolve the issue, including any correspondence with branches/departments and the final resolution outcome.
- Communication: Maintain open communication with the branch/department throughout the resolution process to ensure transparency and customer satisfaction.
